Learn how to assign service jobs to specific bays and track work locations
Assigning Jobs to Bays
Once your bays are set up, you can assign service jobs to specific locations. This helps your team know where each job is being worked on and prevents scheduling conflicts.
Why Assign Jobs to Bays?
- Location tracking - Know exactly where each vehicle or item is
- Prevent conflicts - Avoid double-booking workspace
- Team coordination - Staff can see which bays are in use
- Customer updates - Provide accurate location information
Assigning from the Service Job
The most common way to assign a bay:
- Open the service job you want to assign
- Look for the Bay Assignment section
- Click the bay dropdown or Assign Bay button
- Select an available bay from the list
- The assignment saves automatically

Bay Availability
When assigning, you'll see bay availability status:
| Status | Meaning |
|---|---|
| Available | Bay is free and ready for use |
| Occupied | Another job is currently assigned |
| Maintenance | Bay is temporarily out of service |
| Reserved | Bay is held for an upcoming job |
Only available bays can be selected for new assignments.
Assigning from the Bay View
You can also assign jobs directly from the bay management screen:
- Go to Bay Management
- Find the bay you want to use
- Click Assign Job or the plus icon
- Search for or select the service job
- Confirm the assignment

Drag and Drop Assignment
For quick assignments on the bay board:
- Open the Bay Board view
- Find the unassigned job in the sidebar
- Drag the job card onto the desired bay
- Release to complete the assignment

Changing Bay Assignments
Jobs can be moved between bays as work progresses:
- Open the service job or bay board
- Click the current bay assignment
- Select a different bay
- The job moves to the new location
Moving Multiple Jobs
When rearranging your floor:
- Go to Bay Management
- Click Bulk Actions
- Select the jobs to move
- Choose the destination bay
- Confirm the changes
Removing Assignments
To clear a bay assignment:
- Open the service job
- Click the assigned bay
- Select Remove Assignment or the X icon
- The job becomes unassigned
This is useful when work is complete or the job is moving off-site.
Bay Assignment History
Track where a job has been:
- Open the service job
- Go to the Activity or History tab
- Bay assignments and changes are logged with timestamps

Notifications
Team members can receive notifications for bay assignments:
- Assigned to bay - When a job is assigned to their bay
- Bay cleared - When a job leaves their bay
- Bay conflict - If a scheduling conflict is detected
Configure notifications in your profile settings.
Best Practices
- Assign early - Set bay assignments when creating jobs
- Update promptly - Move assignments as work progresses
- Clear when done - Remove assignments for completed jobs
- Check capacity - Verify bays aren't overloaded
- Use the board - The bay board gives the best overview
