View, export, and act on form responses

Managing Form Submissions

When customers or staff submit forms, you'll find all responses organized and ready for action.

Viewing Submissions

Go to Forms and click on any form to see its submissions. You'll see:

  • Submission count - Total responses received
  • Recent submissions - Latest entries at the top
  • Submission date - When each was submitted

Submission Details

Click any submission to view the full response:

  • All answers displayed in form order
  • File uploads available for download
  • Signatures shown inline
  • Timestamp and source information

Filtering Submissions

Find specific submissions using filters:

  • Date range - Submissions within a time period
  • Search - Find text within responses
  • Status - New, reviewed, archived

Submission Statuses

Organize your workflow with statuses:

Status Meaning
New Unread submission
Reviewed You've looked at it
Actioned Follow-up completed
Archived No longer active

Click the status badge to change it.

Exporting Data

Export submissions for external use:

  1. Go to the form's submissions page
  2. Click Export
  3. Choose your format:
    • CSV - For spreadsheets
    • PDF - Individual submission reports
  4. Select date range (optional)
  5. Download the file

Integrating with Service Jobs

For intake forms, you can create service jobs directly:

  1. Open the submission
  2. Click Create Service Job
  3. Form data populates the job details
  4. Review and save

This connects customer intake directly to your service workflow.

Notifications

Set up alerts for new submissions:

  1. Go to Form SettingsNotifications
  2. Add email addresses to notify
  3. Choose notification frequency:
    • Instant (each submission)
    • Daily digest
    • Weekly summary

Deleting Submissions

To remove a submission:

  1. Open the submission
  2. Click Delete
  3. Confirm deletion

Deleted submissions cannot be recovered. Consider archiving instead if you might need the data later.

Data Retention

Submissions are retained according to your company settings. You can configure:

  • Automatic deletion after a period
  • Archival policies
  • Export before deletion rules
