Manage test drives, vehicles, and customer queues from a single dashboard

Test Drive Staff Dashboard

The Test Drive Dashboard gives you complete visibility over your test drive operations. Monitor vehicles, manage queues, and track active drives all in one place.

Dashboard Layout

Vehicle Grid

The top section displays all your test drive vehicles as cards:

Each card shows:

  • Vehicle image/placeholder
  • Year, make, model
  • Current status badge
  • Time remaining (for active drives)
  • Customer name (when applicable)
  • Quick action button

Queue Section

Below the vehicles, you'll see everyone waiting:

Column Description
Position Queue number (1, 2, 3...)
Customer Name with star icon for scheduled
Type "Scheduled" or "Walk-in" badge
Vehicle Requested vehicle or "Any"
Wait Time How long they've been waiting
Actions Call, Edit, Remove buttons

Active Drives Table

Shows all test drives currently in progress:

Column Description
Vehicle Which vehicle is out
Customer Customer name
Staff Assigned staff member (if any)
Started When the drive began
Time Left Countdown or overdue indicator
Actions Mark returning, complete, or extend

Managing the Queue

Adding a Walk-In

  1. Click the + Walk-in button (top right)
  2. Fill in customer details:
    • Name (required)
    • Phone (required)
    • Email (optional)
    • Driver's License (if required by settings)
  3. Select vehicle preference:
    • Any Available - First available vehicle
    • Specific Vehicle - Choose from dropdown
  4. Click Add to Queue

Calling the Next Customer

  1. Find the customer in the queue
  2. Click Call button
  3. The customer's status changes to "Called"
  4. They'll see a notification if they have the tracking page open
  5. A grace period timer starts (configurable in settings)

Handling No-Shows

If a customer doesn't respond after being called:

  1. Wait for the grace period (default: 5 minutes)
  2. The Mark No-Show button appears
  3. Click to remove them from queue
  4. The next customer is automatically eligible to be called

Managing Test Drives

Starting a Test Drive

  1. Have a vehicle available and a customer called
  2. Click Start Drive on the vehicle card
  3. Select the customer from the called customers list
  4. Optionally assign a staff member to accompany
  5. Confirm to start the timer

Marking as Returning

When the customer calls or signals they're heading back:

  1. Find the vehicle in the dashboard
  2. Click Mark Returning
  3. Status changes to "Returning"
  4. Estimated arrival shows (based on average return time)

Completing a Test Drive

When the vehicle returns:

  1. Click Complete on the vehicle card
  2. Optionally add notes (customer feedback, issues)
  3. Vehicle status returns to "Available"
  4. Next customer can be served

Extending Time

If a customer needs more time:

  1. Click the menu (three dots) on the active drive
  2. Select Extend Time
  3. Choose additional minutes (15, 30, 45, 60)
  4. The expected return time updates

Handling Special Situations

Overdue Test Drives

When a drive exceeds the expected return time:

  1. Vehicle card shows red pulsing border
  2. "OVERDUE" badge appears with time exceeded
  3. Options available:
    • Contact Customer - Log a contact attempt
    • Mark Returning - Customer confirmed returning
    • Extend Time - If customer requested more time

Vehicle Issues

If a vehicle has a problem:

  1. Click the menu on the vehicle card
  2. Select Mark for Maintenance
  3. If the vehicle was on a drive:
    • The drive is completed with a note
    • Customer can be reassigned to another vehicle
  4. Vehicle won't appear in available pool until cleared

Reassigning Vehicles

If a customer needs to switch vehicles mid-queue:

  1. Find the customer in the queue
  2. Click the edit icon
  3. Change their vehicle preference
  4. Save changes

Dashboard Controls

Filtering

Use the filter bar to narrow down what you see:

  • Search - Find vehicles by name/model
  • Status - Show only specific statuses
  • Auto-refresh - Toggle automatic updates (default: 30 seconds)

Refreshing Data

  • Dashboard auto-refreshes every 30 seconds by default
  • Click the refresh icon for immediate update
  • Changes from other staff members appear automatically
