View past test drives, filter results, and track outcomes

Test Drive History & Reports

The History view lets you review all past test drives. Filter by date, status, and customer to find specific records or generate reports.

Accessing History

From the Test Drive Dashboard, click the History button in the header.

Or navigate to: Company > Test Drives > History

Summary Statistics

At the top of the page, you'll see quick stats for the selected date range:

Stat Description
Completed Successfully finished test drives
No-Shows Customers who didn't respond when called
Cancelled Test drives cancelled before starting
Avg Wait Average time from queue to drive start
Avg Drive Average test drive duration

Filtering Results

Search

Type a customer name to find specific records. The search looks at:

  • Customer name
  • Customer email

Status Filter

Filter by test drive outcome:

Status Shows
All Every test drive in the date range
Completed Successfully completed drives
No-Show Customers marked as no-show
Cancelled Cancelled test drives

Date Range

Select start and end dates to narrow your search:

  • From - Start date (inclusive)
  • To - End date (inclusive)

Default range is the last 30 days.

Applying Filters

  1. Set your filter criteria
  2. Click Filter button
  3. Results update below
  4. Click Reset to clear all filters

History Table

Columns

Column Information
Customer Name and email (if provided)
Vehicle Vehicle used, or requested vehicle for incomplete drives
Type Scheduled (calendar icon) or Walk-in (walking icon)
Status Completed, No-Show, or Cancelled badge
Date When the test drive ended or was cancelled
Duration Actual drive time (for completed drives)
Staff Assigned staff member (if any)

Status Badges

Badge Color Meaning
Completed Green Test drive finished successfully
No-Show Gray Customer didn't respond when called
Cancelled Red Test drive was cancelled

Type Badges

Badge Icon Meaning
Scheduled Calendar Pre-booked through online booking
Walk-in Walking person Registered on-site

Reading the Data

Vehicle Column

  • Bold text - Actual vehicle used for the test drive
  • Gray text with pointer icon - Requested vehicle (for cancelled/no-show)
  • "Any vehicle" - Customer had no specific preference

Duration Column

  • Shows actual drive time in minutes
  • Only displayed for completed test drives
  • Dash (-) shown for no-shows and cancellations

Date Column

Shows two pieces of information:

  1. Date - Month, day, year (e.g., "Jan 9, 2026")
  2. Time - When the status was set (e.g., "2:30 PM")

Pagination

Results are paginated with 20 records per page.

  • Navigate using Previous/Next links
  • Page numbers shown for quick jumping
  • Total count displayed at bottom

Common Use Cases

Finding a Specific Customer

  1. Enter their name in the Search field
  2. Click Filter
  3. View all their test drives

Reviewing No-Shows

  1. Set Status to "No-Show"
  2. Select date range
  3. Look for patterns (certain days, times)

Monthly Report

  1. Set From date to first of month
  2. Set To date to last of month
  3. Leave Status as "All"
  4. Review summary stats at top

Staff Performance Check

  1. Filter by date range
  2. Scroll through results
  3. Note staff assignments
  4. For detailed metrics, use Analytics instead

Regular Reviews

  • Check no-shows weekly to identify issues
  • Review cancellation patterns monthly
  • Compare completion rates across periods

Data Retention

Test drive history is kept indefinitely. Older records remain searchable.

Export Options

Currently, data is view-only. For exports:

  • Take screenshots for presentations
  • Use browser print functionality
  • Analytics dashboard coming soon with export feature
