Configure test drive durations, requirements, and notification preferences

Test Drive Settings & Configuration

Customize how your test drive system operates. Configure durations, customer requirements, and notifications to match your dealership's workflow.

Accessing Settings

  1. Go to your Company Dashboard
  2. Click Settings in the sidebar
  3. Select the Test Drives tab

Or navigate directly: Company > Settings > Test Drives

Duration & Timing

Default Test Drive Duration

Set how long each test drive should last by default.

Setting Recommended Notes
Minimum 15 minutes Quick drives around the block
Standard 30 minutes Typical test drive experience
Extended 45-60 minutes Thorough evaluation drives

Tip: Individual vehicles can have custom durations that override this default.

Buffer Time Between Drives

Time gap between when one drive ends and the next can begin. This allows for:

  • Vehicle inspection between customers
  • Cleaning and preparation
  • Key handoff procedures

Recommended: 5-10 minutes for standard operations.

Grace Period for Called Customers

When you call a customer's name, they have this many minutes to respond before they can be marked as a no-show.

Setting When to Use
3 minutes Small showroom, customers nearby
5 minutes Standard showroom (recommended)
10 minutes Large facility, customers may be browsing

Overdue Alert Threshold

How long after the expected return time before an alert is triggered.

Example: If a 30-minute test drive started at 2:00 PM with a 10-minute overdue threshold:

  • Expected return: 2:30 PM
  • Alert triggers: 2:40 PM

Maximum Queue Size

Limit how many walk-in customers can join the queue. Set to 0 for unlimited.

When to limit:

  • During peak times to manage wait expectations
  • When you have limited test drive vehicles
  • To encourage scheduled bookings

Feature Toggles

Allow Walk-in Registrations

Enabled (default): Customers can self-register at your kiosk or via the public link.

Disabled: Only pre-scheduled test drives are allowed. The public registration wizard will show a message directing customers to book online or speak with staff.

Require Driver's License Number

Enabled (default): Customers must enter their driver's license number during registration.

Disabled: License field is hidden from the registration form.

Best Practice: Keep enabled for legal and insurance purposes.

Require License Photo Upload

Enabled: Customers must photograph their license during registration.

Disabled (default): License number is sufficient.

Note: This feature requires camera access on the registration device.

Require Staff Assignment

Enabled: When starting a test drive, staff must select an accompanying team member.

Disabled (default): Staff assignment is optional.

When to enable:

  • Sales staff accompanies all test drives
  • Insurance requires supervised drives
  • Training new staff members

SMS Notifications

Enabled (default): Customers with phone numbers receive an SMS when called for their test drive.

Disabled: No SMS sent; rely on visual/audio announcements.

Note: SMS notifications count against your monthly SMS quota based on your subscription plan.

SMS Notification Details

When enabled, customers receive a text message like:

[Company Name]: Hi [Customer Name]! Your test drive is ready.
Please proceed to the sales desk within 5 minutes.
Track: https://your-company.marketdragon.ph/test-drive/track/abc123

The message includes:

  • Your company name
  • Customer's first name
  • Grace period duration
  • Link to their tracking page

SMS Best Practices

  1. Collect phone numbers - Make phone number a required field
  2. Verify numbers - Encourage customers to double-check their entry
  3. Monitor quota - Check SMS usage in your subscription dashboard
  4. Fallback plan - Have PA announcements for customers without phones

Per-Vehicle Configuration

Beyond global settings, each vehicle can have custom test drive settings.

Enabling Test Drives for a Vehicle

  1. Go to Inventory > Vehicles
  2. Click on the vehicle
  3. Under Test Drive Settings:
    • Toggle Allow Test Drives on
    • Optionally set Custom Duration
    • Add Special Instructions for staff

Custom Duration

Override the default duration for specific vehicles:

  • Sports cars - Longer drives to experience performance
  • Trucks/SUVs - Extended drives for off-road capability
  • Quick sellers - Shorter drives to serve more customers

Special Instructions

Notes visible to staff when starting a test drive with this vehicle:

  • "Check tire pressure before each drive"
  • "Requires sales manager approval"
  • "Demo the lane departure warning feature"

Tips for Optimal Configuration

High-Volume Dealerships

  • Shorter durations (20-25 min)
  • Smaller grace periods (3 min)
  • Set max queue size during peak hours
  • Enable SMS notifications

Luxury Dealerships

  • Longer durations (45-60 min)
  • Require staff assignment
  • Larger grace periods (10 min)
  • Personalized vehicle instructions

Used Car Lots

  • Standard durations (30 min)
  • Flexible queue size
  • Quick turnaround buffer (5 min)
  • License required for all drives

Saving Changes

After adjusting settings:

  1. Click Save Settings at the bottom
  2. Changes take effect immediately
  3. Active test drives keep their original settings
  4. New test drives use updated settings
