Using QR Codes

Track service jobs with QR codes for quick status updates and customer access

Using QR Codes

Every service job in Hydra generates a unique QR code. These codes streamline your workflow and keep customers informed.

How QR Codes Work

When you create a service job, Hydra automatically generates a QR code containing a unique tracking token. This code links directly to the job's status page.

Printing QR Codes

To print a QR code:

  1. Open the service job
  2. Click the QR Code button
  3. Choose your print format:
    • Label - Small sticker for attaching to items
    • Full page - Larger format for folders or displays
  4. Print and attach to the item being serviced

Staff Updates via QR Scanner

Your team can update job status without navigating through menus:

  1. Open the QR Scanner from the sidebar
  2. Point your camera at the QR code
  3. The job details appear instantly
  4. Tap to update status, add notes, or mark complete

This is especially useful for technicians working on the floor who need quick access.

Manual Token Entry

If a QR code is damaged or won't scan:

  1. Open the QR Scanner
  2. Find the token printed below the QR code
  3. Enter it in the manual input field
  4. Access the job directly

Customer Tracking

Customers can track their service job status:

  1. Give them the tracking URL or QR code
  2. They can view the public status page
  3. Status updates appear in real-time
  4. No account needed to check status

The customer sees:

  • Current status
  • Status history
  • Estimated completion (if set)
  • Your business contact information

Best Practices

  • Print immediately - Generate and attach QR codes when jobs are created
  • Consistent placement - Always put QR codes in the same spot (e.g., driver's side visor)
  • Protect from damage - Use laminated labels in harsh environments
  • Train your team - Ensure everyone knows how to scan and update

Privacy Considerations

The public tracking page only shows:

  • Job status and timeline
  • Item description (e.g., "2020 Toyota Camry")
  • Your business information

Customer personal details and internal notes are never displayed on public pages.
